How to check product-page availability against stock records

A practical manual review for comparing what a shopper sees with the current stock record for the same product and option, then keeping a clear record of anything that needs another look.

Manual guide

This review is manual. CartKestrel cannot currently access your inventory, check live product pages, or detect stock mismatches. The steps below are for you to carry out using your own current stock records and storefront.

In this guide

  1. Choose products and records
  2. Match the exact product and option
  3. Spot possible conflicts
  4. Record what you saw and when
  5. Verify before confirming a signal
01

Choose products and current stock records to review

Pick a manageable group, such as a short list of recently updated products or one collection. Use the current stock record your shop normally relies on, and note when that record was last updated if the information is available. Set a review time so page and stock observations can be compared fairly.

This is a manual spot check, not proof that every product is correct. Keep the product pages and records you review in the same list so you can repeat the check later.

02

Match the exact product and relevant option

Before comparing availability, make sure both sides refer to the same item. Match the product name and a unique identifier such as a SKU when your records have one. Then select the same relevant variant or option on the product page and in the stock record—for example, the same color and size, pack size, or model.

  • Confirm the product name and identifier refer to the same item.
  • Check the page’s currently selected option, not just its default display.
  • Compare against the stock row for that exact variant or option.
  • Note whether the page shows “In stock,” “Sold out,” a quantity, or another status.
Sample comparison

For illustration only: a product page says “In stock” for “Moss green · medium,” while the current stock record for that same option shows zero available. If the record is for another color or size, it is not a like-for-like comparison yet.

03

Spot possible availability conflicts

A difference between the two observations is a signal to review, not a confirmed mismatch by itself. Examples include:

  • The page says “In stock,” but the matching current stock record says none available.
  • The page says “Sold out,” but the matching current stock record shows stock available.
  • The page shows a quantity or availability message that differs from the current record.

First rule out a wrong product, unselected option, or stale stock record. Timing, reservations, recent orders, and updates can also affect what two sources show. Treat those as possibilities to investigate, not as an explanation you have confirmed.

04

Record what you saw and when

Keep enough detail for you or a teammate to repeat the same comparison without guessing which product or option was checked.

Product and option
Name, identifier if available, and the exact variant or selected option
Product page
Page address and the availability text or quantity shown
Current stock record
Matching record, available quantity or status, and its update time if shown
Review time
Date, time, and time zone for when you checked both observations
What differed

Next step
Who will recheck it and when; keep the status as unconfirmed until then

Avoid including shopper names, account details, or payment information in the review record. If a screenshot helps, capture only the product and selected option needed to repeat the check.

05

Verify the signal before treating it as confirmed

Re-open or refresh the product page, select the same exact option again, and compare it with the latest current stock record for that option. Record the second check’s time and result beside the first one. If the observations now agree, note that the original signal was not reproduced. If they still differ, keep the issue open for the person responsible for the product or stock record to investigate.

Do not treat one observation as confirmation

A page and stock record can change between checks, and a similar-looking option may belong to a different item. Confirm the product, option, record freshness, and repeat result before describing a signal as a mismatch.

This guide describes a manual process only. CartKestrel does not currently access inventory or detect when a product page and stock record differ.
